Reporting to the Product Manager, the Custom Groups & Charter Specialist will be responsible for the developing custom group and charter quotes and providing ongoing support to clients and excellent customer service. The Custom Groups & Charter Specialist will interact effectively with all of our customers and partners and have the ability to respond to inquiries independently, professionally and promptly.
Specific responsibilities include:
Groups Sales
- Lead the Group department including quoting, monthly reporting, booking, invoicing of all leisure and incentive groups for various brands.
- Collaborate with the Product Manager and Sales department in a strategic growth plan for group sales, including customer service standards, advance sales strategy.
- Analyze and ensure group tour statistics are kept updated and reported on weekly basis
- Be one of the first points of contact for incoming charter and group inquiries
- Generate new group business for all divisions by creating exceptional and competitive group proposals based on client requirements and budget.
- Collaborate with Sales team to ensure partner and account relationship is managed effectively
- Work with existing clients to assess their needs and present tour options with the goal of continually increasing the amount of business with them
- Manage communications and deliver excellent customer service to all parties in reference to group bookings, serving as point of contact for various clients
- Provide information sessions and presentations to clients when necessary
- Ensure company deadlines, payment collection, and group details are delivered on time according to contract terms
- Work with the accounting team to collect and document all deposits and payments according to the schedule outlined in the agreement between client and company
- Troubleshoot any issues that may arise before, during or after the tour, in line with company policy
- Attend tradeshows and Fams to increase product knoweldge
Custom Tour Quoting & Product Development
- Using extensive knowledge of geographical information & suppliers throughout Canada build unique itineraries and packages that will impress customers, in consultation with the Product Manager
- Using a pricing template and researching similar products set a price that will provide good value to the clients while meeting profit margin targets, in consultation with the Product Manager
- Work with our graphic designer to develop marketing material for clients
- Load custom tours into the booking system
- Create Tour Guide or Driver Guide notes, timings, preferred routes, and specific notes on client preferences and inclusions
- Update and monitor online booking platforms including CRM, Booking Platforms to ensure we are maximizing the inventory and filling the coach/es.
- Assist with projects related to the position as directed by the Manager

Reporting to the Senior Sales Manager, the Inside Sales & Customer Experience Representative will be responsible for activities associated with inside sales, satisfying customer needs before, during and after the sale of a tour, providing excellent customer service. The main objective of this role is to increase sales and ensure we have happy satisfied customers who will want to post positive reviews, book again, and refer our tours to others.
Specific responsibilities include:
- Respond to inquiries from all lines of communications (phone, email, CRM platform, social media, OTAs, etc.) and convert inquiries to sales
- Staying on top of all customer reviews and replying to reviews
- Managing customer complaints
Inside Sales
- First point of contact for incoming calls and responsible for responding to customer inquiries through a variety of channels including walk-ins, phone, email, CRM platform, social media, OTAs, etc
- Respond to travel agent inquiries
- Strive to convert all tour booking inquiries and leads into sales
- Direct other inquiries to the proper department or employee
- Book clients using our reservation system and other booking systems
- Become familiar with our current listings on OTAs, how each OTA functions, and assist in the loading of new tour information & updating tour information onto OTA systems
- Assist with sales leads for FIT & custom group quotes and be the main point of contact
- Assist the Sales Manager with the ongoing management of high-level accounts to ensure we are meeting service expectations, maximizing exposure & sales from them, and renegotiating annual contracts
Customer Experience
- Effectively resolve any customer concerns or complaints
- Manage and respond to client reviews on all platforms including trip advisor, google, OTAs, etc.
- Follow-up with larger bookings to ensure they received all necessary confirmations
- Act as an intermediary between the customer and outside sales teams, ensuring that the customer is satisfied with the products or services that they have purchased and ensuring the outside sales team is communicating all of the correct information
- Act as an intermediary between the customer product teams, relaying feedback received directly from the client or through reviews.
- Stay in contact with customers (groups) to provide support while they are on tour and follow up post tour
- Additional tasks as requested by the management

- Executing in-school and industry-related presentations for a variety of groups
- Planning, promoting and leading activities and events such as walking tours, after school activities, sporting events, BBQs, and other special events
- Developing and implementing special events, activities and promotions (including pop-up activities)
- Completing and registering client bookings through the reservation system (including group bookings)
- Helping motivate and lead the practicum team

Requirements:
- College diploma or University degree with a focus in Travel & Tourism preferred
- Minimum of two years operations experience within a tour operator environment is preferred
Reporting to the Operations Manager and Operations Supervisor, the Junior Operations Coordinator will be primarily responsible for ensuring assigned tour
preparation requirements are met. You will assist the team with tour coordination, creation and logistics of assigned destinations. The Coordinator will interact effectively
with all of our suppliers, customers and partners and have the ability to ensure operations requirements and deadlines are met.
Specific responsibilities include:
- Responsible for tour operations of assigned destinations including administration of all hotel reservations, activities, tour details, itineraries, rooming lists, passenger lists, activities, rental lists, waivers, meals, payment follow up, and general administrative tasks.
- Know your tour destinations inside out, which includes travelling on each of your assigned tours
- Keep track of supplier cancellation & information submission deadlines ensuring that
they are adhered to and that we do not incur any penalties. - Support Sales team with any queries regarding and related to current ongoing operational requirements and/or requests from clients.
- Preparation of daily and weekly guide itineraries for assigned destinations
- Ensure activity rates are updated in our booking system and manage them by adding/cancelling as required.
- Assist with loading the tour information of your assigned destination in the booking system, make adjustments where necessary and quality check to ensure all information and prices are correct on the website.
- Administrative duties related to ensuring all the all tour information is updated across all relevant Operational spreadsheets.
- Keeping up to date with the Fareharbor booking procedures.
- Assist in answering phones and helping walk-in clients.
Support Duties
- Part time Weekend departure support and on-call duties on a rotational basis.
- Oversee weekday scheduled tour departures* as required.
- Tour Bags: Pre-Tour – Assisting with updating documented guidelines for tour bag preparation including training Operations interns and quality checks, ensuring inventory for tickets, vouchers etc. Assist with tour bag preparation. Post tour – Ensure all items are returned (i.e. phone, credit card, etc) and contact guides for any missing items. Assist with delivering tour bags into the office/depot/departure on an as-need basis.
*Tour Departures – When assigned, ensure that departures run smoothly by assisting with the preparation of signs, tour bags, etc. and bringing everything needed to departures. Assist with crowd control, manage the bus departures, and drop off supplies/equipment as needed. It is very important to follow company protocol with departures procedures and that the guides are adhering to all policies (i.e. wearing company uniform, standing at the entrance of the bus to meet and check in all passengers).

Reporting to the Operations Manager, our Road Rangers (Driver Guides) will be responsible for driving one of our mini-coaches or vans, providing excellent tour commentary and safety, and ultimately ensuring our passengers have the trip of a lifetime. We are looking for people to join our team who possess a great personality, a passion for travel, and a commitment to excellence.

Specific responsibilities include:
- Efficiently maintain prepared tour schedule
- Passionately deliver commentary and stories to passengers throughout the tour
- Observe and follow all by-laws and rules of the road
- Daily guest and vehicle safety inspections and completion of driver & vehicle reports
- Prepare and know your tour schedule as well as road conditions
- Keep an electronic log
- Clean your vehicle after each shift
- Connect with people and maintain relationships
- Record digital and or live footage of your tour as assigned for Marketing purposes
- Communicate with operations how and when you will be returning tour (paperwork/receipts)
- Report any infractions/ accidents/ tickets or defect on vehicles to the Ops Manager ASAP
- Keep track your assigned schedule and possible changes
